Job Purpose


Facilities management provider offering proactive and maintenance services
to the client and these include:
• Regular inspections, Statutory compliance, Building maintenance, Routine repairs, Air conditioning services, Decoration and refurbishment, Plumbing and heating, electrical works AND Grounds maintenance.

We are currently looking to support and train a Contract support to work on our helpdesk and support the Reactive breakdowns and scheduled planned preventive maintenance for our contracts.

Main Responsibilites


1. Schedule PPMs to Engineers.
2. Schedule work orders with engineers
3. Scheduling for all responsive repairs; liaising with tenants, client, contractors and external
parties.
4. Scheduling work across all stated contracts
5. Reacting to emergencies raised by the client and overseeing engineer's attendance.
6. Schedule PPMs to specialist Subcontractors.
7. Taking ownership of workload daily
8. Handling customer complaints or queries via telephone, email or letter.
9. Support other helpdesk functions on other contracts.
10. Prioritising work orders in line with the KPI priorities
11. Managing the WIP report and collating the paperwork.
12. Chasing subcontractors’ reports/schedules
13. Responding to queries and requests in a timely manner
14. Report any issues where suppliers, engineers, subcontractors have failed to respond within
the agreed timescales.
15. Ensure completed work has all paperwork in the ECM files ready for invoicing.

Qualification


• Wiling to Enrol on a Level 2/3 Customer service
• GCSE English and Maths at grade 4 and above is desirable, or willing to gain functional skills
level 2 through an apprenticeship programme.
• Experience of Microsoft packages, email and internet

Ideally the candidate will have good communication skills, so we can support them to gain good strong key skills and provide excellent customer service. We are looking to support the right person to gain the skills required to manage their workloads and work under pressure and learn a
structured approach to working. We need a person who is willing to learn and is IT literate due the amount of software they will need to learn to carry out their duties.
